2.8 Trial Sites

A trial site is the specific physical location that trial participants are treated, these are often Hospitals, Medical Centres or Dedicated Research Clinics. This section specifically looks at staff travel to these sites during the trial.

Do you want to enter individual country profiles?

Here you have the option to enter different travel profiles for each country defined in the trial.

If you select 'No' that you do not wish to enter individual country profiles you will fill in the information once.

If you select that 'Yes' you would like to enter individual country profiles, all countries that you have entered in section 2.2 will appear in a table for you to add the relevant information in for.

Total number of trial site staff members involved in the trial

This is the total number of trial site staff that are involved for the entire duration of the trial.

This can include but is not limited to:

  • Researchers
  • Doctors
  • Clinical Research Coordinators
  • Clinical Research Nurses
  • Pharmacists
  • Technicians
  • Phlebotomists
  • Radiologists/Imaging Techs: For trials requiring X-rays, MRIs, or CT scans.
tip

Organisations may use different terms for similar clinical trial roles and activities. If you are unclear on the definition of any terms used in the calculator, check the glossary for commonly accepted definitions

How many staff hours are associated with a patient visit

For this field you need to include the time taken to prepare for each patient visit as well as any admin time and any check ins or follow ups after a participant visit.

You can choose to use an approximate value by clicking on the 'use approximate value' button, please note that this will lower the confidence score rating on the results page.

Number of trips staff make to trial site for duration of trial per member of staff

This is the total number of commutes to site for each research team member. For example a full time employee would have a value of 236.

You can choose to use an approximate value by clicking on the 'use approximate value' button, please note that this will lower the confidence score rating on the results page.

How we calculate the approximate value

This figure is calculated based on the total number of participant visits (either for a specific country or overall, depending on whether you are using individual country profiles). We use this to work out the total staff hours needed by multiplying the total number of participant visits by the staff hours associated with a single visit. This gives us the total staff hours needed for all participant visits. We then divide this by the total number of trial site staff members involved in the trial to get the number of hours each staff member will need to contribute.

To convert this into the number of round trips each staff member will need to make to the trial site, we divide the hours per staff member by the number of hours they are expected to work in a day. We then round this number up to the next whole number. The result is the number of trips each staff member will need to make to the trial site.

Do you have primary staff travel data?

If you select 'No' the table will show the default travel mode value, this can affect the confidence score when calculating results.

If you select 'Yes' you are able to enter percentage averages for each mode of transport. A blue progress bar will assist to ensure all data entered equals 100%

The transport options available are:

  • Aeroplane (domestic)
  • Aeroplane (long haul)
  • Bike / Walk
  • Bus
  • Car
  • Coach
  • Electric Car
  • Light Rail / Tram
  • National Rail
  • Taxi
tip

Long-haul flights are defined as journeys covering a distance of 7,400 km or more.

Do you know the average round trip distance travelled?

In this field you need to enter the average round trip distance travelled, if you select 'yes' then when you enter an average trip distance you have the option to choose miles or kilometres (km) from the dropdown.

If you select 'no' that you do not know the average round trip distance traveled, then an approximate value will be entered which will lower the confidence score rating on the results page

note

Note: If you have specified that your trial takes part in different countries you will have to repeat the process for each country's travel profile.
